Assisted Living Project is a premium UK care placement service connecting families with the right assisted living facilities. Their business operates in a high-trust, high-stakes market: the families they work with are navigating one of the most emotionally complex decisions of their lives, and speed, personalisation, and authority matter enormously.

When they came to Codenovai, the gap between their service quality and their commercial infrastructure was significant. Leads were arriving through disconnected channels with no unified attribution. The sales team was spending 2–4 hours manually qualifying each inquiry. Email went to spam. There was no CRM — just spreadsheets.

We rebuilt the entire commercial operation from the ground up: pipeline architecture, email infrastructure, campaign content, AI-powered lead intake, NFC sales enablement, and a BI dashboard that makes every decision data-driven.

WhatsApp and email AI agent running 24/7. Asks 5 qualifying questions, assesses care urgency and budget fit, scores the lead 1–10, routes to the correct regional sales rep with a brief, and triggers the appropriate nurture sequence — all within 90 seconds of the inquiry.

NFC Digital Business Cards

Branded NFC cards for the full sales team. Every tap logs in ZOHO with the rep's name, location, and timestamp. First tap triggers a personalised 3-email welcome sequence with the rep's photo and tailored facility brochure. Second+ taps trigger a re-engagement flow.

ZOHO Marketing Hub configured with 14 active automation workflows: lead entry triggers, stage-change notifications, dormant lead re-engagement, monthly newsletter dispatch by segment, and Google Ads audience sync for retargeting. All automations have fallback conditions.

Custom ZOHO Analytics dashboard: real-time sales velocity by region, newsletter open/click cohorts, NFC tap-to-meeting attribution, campaign website traffic-to-inquiry conversion by page, and channel ROI consolidated from Google Ads, email, and organic. Auto-refreshes every 4 hours.

Email Deliverability Infrastructure

Moved from shared hosting email to AWS SES with custom domain authentication (SPF, DKIM, DMARC), dedicated sending IPs, warm-up schedule across 8 weeks, bounce/complaint monitoring, and suppression list management. Inbox placement rate improved from ~60% to 98%+.

Audit & Architecture

Mapped existing tech, lead flow, and sales process. Identified 11 distinct prospect segments. Designed the ZOHO pipeline architecture and content strategy before a single line of code.

Phase 02

Weeks 2–5

CRM & Automations

Built the ZOHO CRM pipeline, configured 14 automations, set up Marketing Hub with all segment lists, and connected Google Ads for audience syncing.

Weeks 3–9

Campaign Sites & Email

Deployed 10 campaign websites and wrote 10 email sequences in parallel — each reviewed by the client's team for accuracy before final build.

AI Agent + NFC

Built and tested the AI qualification agent on WhatsApp and email. Designed and manufactured the NFC card system with full ZOHO webhook integration.

Infrastructure & Analytics

Migrated email sending to AWS SES, ran the 8-week warm-up, built the BI dashboard, and conducted the full attribution audit before handoff.
